Choosing a Student Management System (SMS) is one of the most consequential technology decisions an RTO can make. The wrong choice means years of workarounds, compliance headaches, and frustrated staff. The right one becomes the operational backbone of your training business.

Here are the eight features that genuinely matter - and a few that sound impressive but rarely deliver value in practice.

1. AVETMISS-Compliant Data Collection

This is non-negotiable. Your SMS must collect and export data in the AVETMISS format required by NCVER. Any system that doesn't support this natively will require expensive workarounds or put your funding at risk.

2. Enrolment Workflow Automation

The best systems guide students through a defined enrolment journey - application, USI verification, training plan sign-off, fee payment - with automated reminders at each step. Manual follow-up is a time drain that compounds as you scale.

3. Attendance and Outcome Tracking

Robust attendance recording (including partial attendance) and a clear outcome recording workflow are fundamental compliance requirements. These need to be easy for trainers to use on the floor, not just administrators at a desk.

4. Document Management

Student files accumulate fast: enrolment forms, training plans, LLN assessments, RPL evidence, certificates. Your SMS should store, version, and retrieve these documents reliably, with clear retention and access controls.

Fee collection, invoicing, and integration with accounting software (Xero, MYOB) eliminates double-entry and gives management real-time revenue visibility.

7. Reporting Dashboard

Operational reports - enrolment numbers, completion rates, trainer utilisation - should be available at a glance without needing to export to Excel.

8. Trainer Portal
